5. Clubs Setup Menu

The club's menu reveals the clubs currently assigned to you for administration.




The Club Menu also features the Actions buttons, offering a range of options to customize settings for your club.

 

      Those action buttons include:

 

Edit Club Details Button Assign / View Club Admins Button    View Club Button



5.1   Edit Club Details


Club Profile: Enhance and update club details, such as:

  • Address
  • Contact information.
  • Club description (Blurb)
  • Profile image



5.2     Season Setup


Here's where you input your season details. A season encompasses the duration during which your pricing, rink availability, dates, and session settings remain consistent.


 Note: seasons cannot overlap, each season requires new pricing to be added, If there is a gap between seasons, bookings will not be available during that period.

  • Season name
  • Season Start Date
  • Season End Date

 

5.3       Pricing


Customize your pricing options  for each season by specifying:

 

  • Whether it's per person or per rink.
  • Per rink charge: Establish a single price for the entire rink.
  • Per person charge: Enable multiple pricing options for individual participants.
  • Pricing level indicates S1-S3, this allows for multiple pricing options to be set.  An example of that would be S1 might be the price for a 2-hour session, S2 might be the price for a 3 hour.

 

5.4       Rink Setup


Define your rink availability with the following details:

 

  • Specify the number of available rinks.
  • Set the maximum capacity per rink.
  • Set minimum capacity per rink
  • Choose the booking order, whether ascending or descending, to streamline the reservation process.



5.5       Session Schedule


Customize the times for each session within the selected season by:

 

  • Adding multiple sessions to accommodate different timings and prices
  • Specifying start and end times for each session.
  • Deleting sessions as needed for flexibility.
  • Selecting the available rinks per session to streamline booking options.
  • select pricing level S1-S3



5.6     Add Ons 


Our add on page allows for clubs to sell items at checkout. This includes Merchandise, resources and catering options. 


Options available for the add on are:


  • Qty available
  • Price
  • Sale unit - per item or per head
  • Quantity available
  • Minimum Order Quantity
  • Maximum Order Quantity
  • Daily booking limit
  • Lead time (hours)
  • Description
  • ability to add an image of the item in question
  • schedule (when item is available)






5.7       Payments


Access your payment details following the initial setup of Stripe. This button allows you to retrieve financial information and process refunds, among other transactions. Authentication and site administration rights are required, which are provided during the setup of your club.






5.8       Plan


This section provides insight into your current BowlsClubHQ payment plan. Here, you can review the details of your existing plan and manage any related options or upgrades.


Options available are:


1. Guest pays BCHQ fee

2. Club pays BCHQ fee

3. Guest pays Stripe fee

4. Club pays stripe fee.

5. Include membership module 


Any combination of the above options is available to clubs.




5.9       Memberships


Access the membership module setup section to configure various options:
Specify the name of the membership.
Provide a description outlining its features.
Set the price for the membership.
Define the duration as either per duration or annual.
Create new memberships as needed to accommodate different offerings.




Note the folder icon (highlighted yellow) indicates the area to select what user data the club would like to gather for memberships. options available are:


1.  opt in to receive news and updates from your club

2. Suburb / post code

3. year of birth

4. a custom field for a custom question







5.10      Assign / View club Admins

To assign a user to your club, enter their preferred email address, select their role, and click "Invite." Once they accept the invitation by clicking the link in the email they receive, they will gain access to your club site with one of the following three roles.

Club Administrator: Has full access to edit the site, including all functionalities. 


Club Booking Administrator:  Has access limited to adding and editing bookings exclusively.


Club booking Reader:  Has restricted access Ideal for digital signage and information purposes
.






5.11      View Club Page



This link will take you straight to the public view of your Club Page




 5.12        Refunds


To assign your clubs preferred refund option or options you can select either.


  • Full refund
  • Partial refund - You must also add the percentage of the refund given.



 5.1        Settings


The settings TAB allows you to set preferences around who receives notification emails for bookings.


Options include.


  • Who receives a copy of the booking email
  • Who receives a daily booking summery
  • If you want to email guests when merging a booking


Note - multiple email addresses can be added for each option by using the + button
